Privacy Policy

1. Introduction

Ambassadia, a company established in the Principality of Monaco and publisher of the TranscriLive solution, places great importance on the protection of your personal data. This policy explains how we collect, use and protect your information, in accordance with Monegasque law no. 1.565 of 3 December 2024 on personal data protection (supervisory authority: APDP) and, for individuals located in the European Union, the GDPR (Regulation (EU) 2016/679). It covers the TranscriLive website, the TranscriLive software deployed at our customers' sites and the associated applications. Founding principle: by default, TranscriLive retains no audio data — speech is processed in real time, with no recording or storage of voice data. The only exceptions are at your initiative: an explicitly enabled export, or the consent-based voice-print option. In our hosted SaaS mode, audio streams pass through our platform for the duration of processing (see the Compliance page and the DPA).

2. Data we collect

We only collect the following data:

• Account data, if you create one: email address and password (stored encrypted). An account is only needed for the Pro and Studio plans
• Subscription information (Pro or Studio plan, status). Payment is handled through Apple In-App Purchase: we never receive your payment details
• Data submitted through the contact form (name, email, topic, message), used solely to process your request and reply to you

Important: by default, TranscriLive neither records nor stores any audio data — transcription, translation and vocalization are performed in real time, with no retention of voice data. Exceptions, always at your initiative: an explicitly enabled export, or the voice-print option (biometric data subject to explicit consent — see the Compliance page). In hosted SaaS mode, audio streams pass through our platform for the duration of processing, with no retention by default.

3. TranscriLive software and applications

The TranscriLive software runs on your infrastructure or on your device (Windows, Linux, macOS — mobile applications under development). Speech recognition, translation, diarization and vocalization run locally: in on-premise mode, the voice is never transmitted over the Internet or to Ambassadia's servers. In hosted SaaS mode, streams pass through the platform operated by Ambassadia, for the duration of processing, under the DPA.

• The app can be used for free without creating an account. No tracking, no advertising identifier, no analytics tool.
• The microphone is only used while listening is active, which you start and stop yourself. No audio recording is kept.
• Transcripts, glossaries and customizations remain stored locally on your device, under your control.
• Wi-Fi broadcasting of subtitles happens directly on the local network, from device to device, without going through remote servers.
• Exports (PDF, SRT/VTT, minutes, etc.) are generated locally and are only shared at your initiative.

When TranscriLive is deployed within your organization, the organization remains the data controller for the content processed by the software; Ambassadia has no access to it. 4. Purpose of processing

Your data is used solely to:

• Create and manage your account and your subscription (Pro, Studio)
• Ensure the security of our services
• Contact you for customer support when needed
• Comply with our legal and accounting obligations

5. Data retention

Personal data (business contacts, contractual information, correspondence) is kept for as long as necessary for the purposes for which it is processed: for the duration of the business relationship, then archived subject to accounting and tax obligations (up to 5 years). No audio data is retained by default — see above for the exceptions, always at the user's initiative.

6. Data security

We implement appropriate technical and organizational measures to protect your data against unauthorized access, alteration, disclosure or destruction. Our servers are secured, and data is encrypted in transit and at rest.

7. Your rights

Under the GDPR, you have the following rights:

• Right of access to your data
• Right to rectification
• Right to erasure
• Right to restriction of processing
• Right to data portability
• Right to object

To exercise these rights, contact us at: contact@ambassadia.com. You can also delete your account and its data at any time directly from within the app.

8. Cookies

The TranscriLive website uses no tracking cookies and no analytics tools. Only your language preference is stored locally in your browser (localStorage) so the site can be displayed in your chosen language. The mobile app uses no cookies or trackers.

9. Data transfers

Your data is hosted within the European Union. We do not transfer your data outside the EU without appropriate safeguards compliant with the GDPR.

10. Changes to this policy

We reserve the right to modify this privacy policy at any time. Any change will be published on this page with a new update date.
